Duties Summary The position performs duties to assist one individual, and in some cases the subordinate staff of that individual, by preforming general office work auxiliary to the work of the organization. Incumbent coordinates all matters pertaining to secretarial and clerical functions and procedures essential to the operation of this Service. Responsibilities The employee(s) coordinate(s) incoming data from a variety of sources and provides technical support to produce statistical reports. Reviews documents, reports for omissions and inconsistencies, and ensures data entry into VISTA system is complete and-accurate. Maintains automated system of program-specific data to track suspense´s on items such as project milestones, progress reports, compliance strategies, and resource materials to support the technical activities of an organization. Support responsibilities include correspondence routing/transmittal, filing, answering/routing phone calls, routing verbal and electronic messages, and accurately maintaining calendars. Inputs T A exceptions, serves as timekeeper and performs work involving the collection, compilation, tracking and/or reporting of data. Other duties as assigned. TIME-IN-GRADE REQUIREMENTS : Advancement to positions up to GS-5: Candidates may be advanced not more than two grades above the lowest grade held within the preceding 52 weeks under competitive appointments. 2. QUALIFICATION REQUIREMENTS : A. Specialized Experience : One (1) full year of specialized experience is required. To be creditable, this specialized experience must have been equivalent to the GS-4 Secretarial level in Federal service. One (1) full year of specialized experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position is required. Examples of specialized experience are: office administration in a clinic or hospital based setting, official records keeping for minute reporting purposes, administrative assisting in a large complex healthcare system, etc. B. Substitution of Education for Experience : (If qualifying based on education, applicant must submit copy of transcripts): Successful completion of a 4 years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (MUST SUBMIT TRANSCRIPTS IF QUALIFIYING BASED ON EDUCATION. TRANSCRIPTS MUST INDICATE DEGREE HAS BEEN CONFERRED). 3. Typing proficiency : You must be able to type at least forty (40) words per minute proficiently. 4. QUALIFICATION STANDARDS : U.S. OPM Qualification Standards Operating Manual, Group Coverage Qualification Standards for Clerical and Administrative Support Positions and Individual Occupational Requirements for Secretarial Series, 0318. This standard is available for review or you may access this standard through the internet at the following address: http://www.opm.gov/qualifications/ You will be rated on the following Competencies for this position: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note : A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. 5. Physical Requirements: The work is mostly sedentary in nature, requires non-routine walking, bending, and lifting of objects of 15-25 lbs. Additional information Receiving Service Credit or Earning Annual (Vacation) Leave : Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee´s credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
